What we keep, and why.

DoorLog.AI (“DoorLog”, “we”) is a property management service operated by True-Compass.AI. This policy covers this website (https://doorlog.ai) and the application at https://app.doorlog.ai. It is written to be read. If anything in it is unclear, write to support@doorlog.ai.

Who we are to your data

A landlord or property manager (a “client”) opens an account and enters records about their properties, owners, tenants and vendors. For those records the client decides what is collected and why, and we process it on the client’s instructions. For the client’s own account, and for visitors to this website, we decide, and this policy describes what we do.

If you are a tenant, owner or vendor and have a question about a record concerning you, the client who manages the property is the first place to ask. We will help them answer.

What we collect

On this website

Nothing beyond what any web server records: the address and page requested, the time, and the browser’s type. We do not use analytics cookies or advertising trackers on this site. If you email us, we keep the email.

In the application

• Account details. Your name, email address, and, if you sign in with Google or Apple, the identifier and email those services give us. We never see your password for those services. If you use an email and password, the password is stored only as a hash by Firebase Authentication.
• Property records. What clients enter: addresses, leases, rent and deposit amounts, payments, maintenance requests, messages, photographs of the property, documents, and the names and contact details of tenants, owners and vendors.
• Payments. When rent is paid online, the payment is processed by Stripe. Stripe receives the bank or card details; we receive confirmation, the amount and a reference. We never store card numbers or bank account numbers.
• Signatures. When a lease is signed online, we record the name typed, the time, and the network address it was signed from, because that is what makes the signature evidence.
• Technical logs. Errors, sign-ins and the actions that change money or records, kept so we can find and fix problems and so a client can see who did what.

Why we use it

• To run the service: keeping the file for each door, collecting rent, sending the reminders, receipts and invitations a client asks for.
• To keep accounts secure and to investigate problems.
• To bill clients for their subscription.
• To answer support requests.
• To meet legal obligations, such as tax reporting where it applies.

We do not sell personal information. We do not use property records, tenant details or photographs to train artificial-intelligence models. Where the product uses AI, for example to compare move-in and move-out photographs, it is applied to the client’s own records for that client’s use.

Who else sees it

We share data only with the services that run DoorLog, each under its own agreement:

• Google Cloud and Firebase, which host the application, its database, its file storage and sign-in.
• Stripe, which processes payments and holds the payment details.
• Resend, which delivers the emails the application sends.
• Google and Apple, if you choose to sign in with them.

Within a client’s account, what each person sees is decided by their role. Tenants see their own home. Owners see their own properties. Staff see what the client allows. Every record belongs to exactly one client account and is never visible to another. Our own staff can see a client’s records only when invited by the client as a manager, visibly, or when needed to fix a problem the client has reported.

We will disclose data if the law requires it, and we will tell the client unless the law forbids that.

How long we keep it

Property records are kept for as long as the client’s account exists, because a deposit dispute or a tax question can arise years after a tenancy ends. Moving to a smaller plan never deletes anything. When a client closes their account, they may export their records first; we delete the account’s data within 90 days of closure, except where we must keep a record for tax or legal reasons, and except for backups, which expire on their own schedule.

Your choices

• You can see and correct your own account details in the application.
• Clients can export their records and can close their account at any time.
• Tenants, owners and vendors may ask the client who manages the property to correct or remove a record about them. If you cannot reach them, write to us and we will help.
• You may ask us what personal information we hold about you, and to delete it where we are able to. Write to support@doorlog.ai.

Security

Data is encrypted in transit and at rest. Every record is protected by rules the database itself enforces, so a client cannot reach another’s data even by calling the service directly. Money is written only by the server, never by a browser. Files are served only after the application checks who is asking. We keep a record of the actions that change money. No system is perfect; if we learn of a breach affecting your data we will tell affected clients promptly and say what happened.

Cookies

The application uses a session cookie to keep you signed in. This website uses none. We do not use third-party advertising or tracking cookies anywhere.

Children

DoorLog is for adults managing or renting property. We do not knowingly collect information from anyone under 18.

Changes

When this policy changes we will update the date at the top and, for changes that matter, tell clients by email before they take effect.
